Martek is seeking a highly organized and proactive Business Support Specialist to coordinate office operations, support leadership, and assist in business operations including accounting, employee services, and proposal development. This role requires discretion, professionalism, and the ability to manage multiple tasks in a fast-paced environment with a friendly, can-do attitude.

KEY RESPONSIBILITIES
Office Management (10%)
  • Maintain a clean, professional office environment, including kitchen and conference areas
  • Manage inventory and order supplies (e.g., office items, business cards)
  • Oversee office calendar and send daily schedule updates
  • Liaise with building services and manage office equipment and mail
  • Assist with logistics for meetings and events (setup, tear down, catering)
  • Greet visitors and help manage the main phone line as needed
Executive & Team Support
  • Coordinate and schedule meetings, prepare agendas, and compile materials
  • Screen communications, prioritize tasks, and ensure timely follow-up
  • Support travel arrangements, including itineraries, accommodations, and expense reports.
Proposal & Contract Support
  • Assist in preparing high-quality proposal documents by helping to ensure accuracy and compliance to include proofreading, editing, graphics, and final preparation.
  • Research government contract sites and regulations to improve proposals and ensure compliance.
  • Research various government contracting sites (e.g., eBuy, FedBizOpps, GovWin)
  • Support research for subject matter and project needs
Business Operations
  • Set up and manage technology for meetings (Teams, Zoom, etc.)
  • Prepare reports, presentations, and correspondence for internal and external stakeholders
  • Conduct research to support business development, marketing, and operations
  • Contribute to Martek’s social media, press releases, and communications
Accounting & Employee Services
  • Provide general accounting support as needed
  • Coordinate employee recognition initiatives (e.g., anniversaries, awards, onboarding gifts)
QUALIFICATIONS
Education & Experience
  • Bachelor’s degree in Communications, English, or Business preferred
  • 5–7 years of relevant experience may be substituted for degree
  • 1–3 years of office or administrative experience required

  • Proficiency in Microsoft Office and virtual collaboration tools
  • Exceptional attention to detail and organizational skills
  • Ability to manage multiple priorities and meet deadlines
