Martek has been awarded several long-term Federal contracts to provide a wide range of professional services.  We are currently looking for an Office Support Coordinator to support our corporate office’s operational teams.  The ideal candidate must possess the specialized training and experiences outlined below and also has the ability to manage a rigorous workload for our various divisions.  In exchange for the right candidate, you will be rewarded with a well-paid, fully benefited and an exciting opportunity.

 

Responsibilities & Duties

The Office Support Coordinator provides a wide range of support to Martek’s various operational teams, with a special focus on providing concurrent support to Program Management, Proposal Management, Facilities Management, and Human Resources.  The responsibilities of this position are to coordinate multiple tasks simultaneously, anticipate the needs of the office, while remaining professional in all situations with a friendly and courteous demeanor, and exercise confidentiality in all matters relating to Martek, as well as their employees and customers.  The specific duties of this position include, but are not limited to, the following:

Program Management Support

  • Assist in the preparation of weekly/monthly reports for external customers
  • Assist wish sourcing candidates for open positions and formatting resumes
  • Prepare various internal reports such as expense reports and status reports

Proposal Support

  • Assist in the preparation of proposal documents, including proofreading/editing
  • Research subject matter and other project work

Facilities Management Support

  • Assist with the ticket system for the operations and maintenance of the facility/building

Human Resources Support

  • Assist in the administration of the employee benefits programs
  • Assist in preparation of various HR documents and reports, including new hire packets
  • Assist in the maintenance of Martek’s intranet content

General Office Support

  • Maintain multiple Outlook calendars for appointments, calls, and meetings
  • Coordinate travel arrangements
  • Order office supplies
  • Maintain standard office equipment
  • Back-up receptionist duties
  • Assist on special projects
  • Other duties as assigned

 

Skills & Qualifications

The Office Support Coordinator must possess the following skills and qualifications:

  • Experience supporting diverse internal customers in a fast-paced office setting.
  • Ability to remain calm and focused under tight deadlines while maintaining superior attention-to-detail.
  • Ability to prioritize, manage workloads and meet deadlines with minimal direction.
  • Ability to perform technical, specialized, and complex administrative work.
  • Ability to develop creative and/or innovative solutions to perform assignments.
  • Ability to utilize initiative and independent judgment within established guidelines.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Pro.
  • Superior customer service, verbal and written communication skills.
  • Experience sustaining office equipment such as printers, copiers, fax machines, etc. 

Requirements

Minimum of a 2-year college AA degree or equivalent of 4-5 years of work experience in an office environment.

Preferred Experience

Four-year college degree plus at least 1 year of work experience in an office environment.
